
Machine Found Out of Gauge After the Container Booking Is Placed
A machine that measures wider than the container after crating forces a switch to out of gauge equipment; how the rebooking and stowage are handled.

The situation
Machinery is frequently booked against drawing dimensions rather than crated dimensions. A bed-type milling machine or an injection moulding press may sit comfortably inside the internal width of a standard container on paper, then arrive at the loading point on a timber skid with lifting lugs, guarding and a protective frame that push it past the limit. The booking placed weeks earlier is for a standard forty-foot high cube. The cargo no longer fits it.
The discovery usually comes late, at the stuffing warehouse or during a pre-shipment survey, because that is the first moment anyone measures the packed unit rather than the machine. By then the booking carries a confirmed sailing, a container release and a customs declaration built around a single FCL line. Out of gauge cargo cannot simply be swapped into the same slot: flat racks are a separate equipment pool, stowage is position dependent, and the vessel's acceptance of the piece is a separate decision.
What made it difficult
- Flat rack and open top equipment sits in a much smaller pool than standard boxes, and availability at a given Chinese port in a given week is finite rather than assumed.
- Out of gauge pieces need a stowage position that the carrier must approve, which means the dimensions and weight submitted have to be final packed figures rather than estimates.
- Documentation already lodged against a standard FCL booking, including the shipping order and any pre-declared customs data, has to be corrected before cut-off or the whole shipment rolls.
- Lashing, securing and weather protection for a machine carried on an open flat rack fall to the shipper and must satisfy the carrier's cargo securing requirements.
How it is approached
The first action is to stop quoting the drawing and measure the packed unit: extreme length, width and height including skid, lugs, packaging and any projection, plus verified gross weight and the position of the centre of gravity. Those figures become the single reference for everything that follows. A competent forwarder asks for photographs of the crated piece against a tape measure, because an out of gauge booking made on a second set of wrong numbers fails twice.
Next comes the equipment decision, which is arithmetic rather than preference. Overwidth of roughly 2.4 to 3.0 metres normally goes to a forty-foot flat rack. Extreme overheight with acceptable width may suit an open top. A piece that overhangs the platform ends may need two flat racks joined or a breakbulk booking instead. Each option carries a different surcharge structure and a different stowage restriction, and the differences are material to cost.
The rebooking is then handled as a cancellation and a fresh submission rather than an amendment. The carrier's out of gauge desk reviews the dimensions, issues an approval with a quoted slot cost, and confirms whether the piece loads under deck or on deck. Where the original sailing cannot absorb the change, the realistic choice is usually the next sailing on the same service, because the approval cycle restarts with every new carrier approached.
In parallel the packing is reworked for open equipment. Cargo on a flat rack is exposed to weather, sea spray and lashing loads, so the machine needs shrink wrapping or tarpaulin over corrosion protection, steel or timber bracing at the lifting points, and lashing calculated against the carrier's securing manual. Cost should be restated in full at this point: out of gauge surcharge, extra slots, lashing materials, survey and any revised inland haulage for an overwide load.
